Bill To vs Ship To: Put the Right Customer Details on an Invoice

Bill To identifies the customer being billed and the billing details they have supplied. Ship To identifies where goods are delivered. For service work, a job-site address may play a similar location role without being a shipping address. Keep these roles distinct when completing the ToolNivo Invoice Generator, which has a Bill To section but no dedicated Ship To section.

Three roles that can belong to different people

The purchasing contact requests the work. The billing contact processes the invoice. The recipient or site contact receives the goods or supervises delivery. In a small transaction, one person may fill all three roles; in a larger organization, they may work at different addresses.

Do not assume that the person who gives access to a site is the customer who should be invoiced. Ask the ordering party for the correct billing identity and submission instructions before preparing the document. A known brand name may also be different from the particular company named on the order.

A warehouse example

Suppose Northbank Retail orders shelving for a warehouse. Its finance office processes invoices at the head-office billing address, while the shelving goes to Warehouse 3. The invoice should identify Northbank Retail using the billing details it supplied. A separately labeled delivery location can identify Warehouse 3.

The warehouse supervisor’s name can be useful for delivery coordination, but it should not replace the customer’s billing name. Likewise, the finance mailbox is not a physical shipping destination. Keep the purchase-order reference visible so finance can match the delivery to the order.

A service-site example

A property-management company might order a repair at a tenant’s apartment. The apartment address identifies where the job happened; it does not by itself determine who owes the charge. Confirm the customer and billing arrangement with the party that authorized the work.

A description such as “Approved plumbing repair, job PM-042, site: Building C” can identify the job without filling the billing block with the tenant’s details. Include a fuller site address if the customer needs it for matching, while avoiding personal information irrelevant to the bill.

Record the extra location without inventing a field

In ToolNivo, enter the confirmed customer information in Bill To. Put an additional delivery or service location in Notes or a relevant line description, clearly labeled “Delivery location” or “Service location.” Check the preview to ensure the label stays connected to the address.

This is a practical document arrangement, not a replacement for a customer-mandated form or structured invoice format. If the buyer needs a dedicated Ship To field, separate delivery documentation or a specific procurement submission, confirm whether your PDF is acceptable. The purchase-order matching guide explains the surrounding reference workflow.

Ask these questions when details conflict

  • Which customer name appears on the approved order?
  • Which address has the buyer explicitly designated for billing?
  • Where were the goods delivered or services performed?
  • Who handles questions about the work, and who handles the invoice?
  • Does the buyer require a PO, site code or department reference?

Resolve contradictions before sending rather than choosing the most familiar address. If a billing identity changes after issue, preserve the original and use the appropriate correction process. An address edit is not automatically permission to bill a different organization.

Keep the final document easy to route

Read the PDF without the email thread. A reviewer should be able to distinguish the payer from the location immediately. Do not use an unlabeled second address block, and do not assume a logo identifies the correct company.

Then verify the delivery channel for the invoice itself. That channel can differ from both postal addresses. Use the pre-send information checklist to review references, dates and totals after the address roles are settled.

Frequently asked questions

What if the billing and delivery addresses are identical?

Use the correct billing information. Add a separate delivery reference only if it helps the transaction or is required by the customer; do not invent a different address.

Does ToolNivo provide a Ship To field?

No. The current form has Bill To. A clearly labeled location can be recorded in Notes or a description when that format is acceptable to the recipient.

Does the shipping address determine the tax automatically?

No. ToolNivo does not determine tax treatment from addresses. Check the applicable transaction rules separately rather than inferring them from this general address guide.
