How to Convert PDF to Excel

  1. Open the converter and select one PDF, or drop it into the upload area.
  2. Review the document preview. Use thumbnails or Previous / Next to move between pages.
  3. Choose all pages or a range such as 1, 3-5. Select Convert to Excel.
  4. Compare the extracted tables with your PDF. Edit cells in the review area if needed.
  5. Choose a file name, create the XLSX, then select Download Excel.

Documents are limited to 25 MB and 100 pages to keep browser processing manageable. For large files, use Split PDF to extract the relevant pages first.

PDF Tables to Excel: What This Tool Extracts

A PDF stores text at positions on a page; it often does not contain a spreadsheet-style table definition. This converter combines text positions, repeated column gaps and supported vertical table lines to reconstruct rows and columns. Each detected table is placed on its own Excel worksheet, labeled with its source page and table number.

It works best with clear, horizontal, selectable-text tables. It can process several tables and pages in a single document. Inconsistent spacing, overlapping text, merged headers, rotated text and complex layouts can cause missing or misplaced cells. Review the result before using it for calculations or records.

The converter does not rebuild formulas, charts, pictures or the original Excel formatting. Dates and formatted numbers remain text by default so that a date such as 04/05/2026 is not silently reinterpreted.

Text-Based PDFs and Scanned PDFs

If you can select the words in the table, the PDF probably contains a text layer. This tool reads that layer. A scan is usually a picture of a document and needs optical character recognition, or OCR, before its words can be extracted.

OCR is not included. Pages with no extractable text are reported rather than turned into empty spreadsheets. They may be scanned, blank, or contain outlined text. In a mixed document, supported text tables can be exported while pages without text are listed in the conversion notes. An existing OCR text layer may work, but its recognition errors can carry into Excel.

Local Processing and File Privacy

Your PDF and the resulting spreadsheet are processed in your browser. The converter does not upload documents to ToolNivo, permanently store them on the VPS, or send them to an external conversion API. PDF passwords, when needed, are used only to open the file locally.

The workspace loads ordinary code, fonts and PDF rendering assets from ToolNivo. It contains no ads, analytics or third-party conversion services. Processing uses your device’s CPU and memory; very large or complex PDFs can take longer on a phone. Clear removes the document from the workspace; downloaded copies remain on your device.

Frequently Asked Questions

Is this PDF to Excel converter free?

Yes. It needs no paid API, account or subscription. Conversion runs in your browser.

Does it convert scanned PDF tables?

No OCR is included. A scanned or image-only page normally needs OCR elsewhere before this tool can extract its table. Pages with no extractable text are clearly reported.

Will every PDF table be converted perfectly?

No. PDF layouts vary, and table structure must often be inferred. Merged cells, compact columns, unusual fonts, rotated text and complex reports can require corrections. Always compare the spreadsheet with the original.

Are numbers and dates preserved?

The default preserves extracted values as text, including dates, leading zeros and number formatting. An optional setting turns unambiguous plain integers and dot-decimal values of up to 15 digits into numeric Excel cells. Currency, comma-separated numbers and ambiguous dates stay text.

Can I convert several pages or tables?

Yes. Choose all pages or a page range. Each detected table is exported to its own worksheet. A table continuing onto a new PDF page is not automatically joined to the previous page’s worksheet.

What if columns are merged or split incorrectly?

Adjust column separation under Advanced settings, then convert again. You can also enter manual column boundaries as percentages of page width, such as 25, 60, 80. These boundaries apply to all selected pages, so select a smaller range if layouts differ.

Where is my uploaded PDF stored?

Selecting a PDF reads it into the browser; the converter does not upload it to a server or save it in browser storage. Clear resets the workspace. Your original file and any downloaded workbook remain on your device.

Can I open the result in Microsoft Excel?

The output is an XLSX workbook with ordinary cells and worksheets. It can be opened in spreadsheet software that supports XLSX. Formula-looking source text is written as text, not executed as a spreadsheet formula.

Why does a password-protected PDF not open?

Enter the correct PDF password when prompted. This tool does not recover passwords or bypass a document’s copying restrictions. Use a source document you are authorized to convert.
