How to Convert PDF to Excel Online: A Practical XLSX Guide

A PDF is useful for sharing a finished document, but its tables are awkward to sort or calculate. Converting a text-based PDF to Excel gives you editable cells that you can inspect and organize. The important step is checking the extracted rows and columns before you use the data.

Check your PDF before converting

Start with a page that contains the table you need. Try selecting a few words or numbers in a PDF reader. Selectable text is a useful sign that extraction may work, although it does not guarantee a clean table. A photographed or scanned page without a text layer needs OCR first; ToolNivo’s converter does not include OCR.

Keep the original PDF so you can compare the result. If the document came from a spreadsheet and its original XLSX is available, that source file will usually be a better starting point because its actual cells and formulas already exist.

Convert a PDF to an XLSX file with ToolNivo

  1. Open the PDF to Excel workspace and choose one PDF or drag it into the upload area.
  2. Review the page preview and file information. Move through the document using thumbnails or Previous and Next.
  3. Leave Pages empty to process the whole document, or enter a range such as 1, 3-5.
  4. Select Convert to Excel. The extracted tables appear below the preview.
  5. Compare the cells with the PDF. Edit any visible review cells that need correction.
  6. Set your output file name, select Create XLSX from reviewed tables, then Download Excel.

ToolNivo creates a separate worksheet for each detected table and includes conversion notes. Downloading the workbook is a separate action, so you can review the extracted content before saving it.

What the Excel file contains

The output contains table values arranged into spreadsheet rows and columns. It is not a screenshot pasted into Excel. However, a PDF usually describes where text appears rather than storing the original spreadsheet structure. ToolNivo must infer table boundaries from text positions, gaps and supported table lines.

Do not expect the original formulas, charts, merged cells or exact page styling to be restored. Values are kept as text by default. A small check that catches common mistakes

For an invoice, inspect the first item, a middle item and the final subtotal. Confirm that descriptions, quantities, unit prices and totals occupy different columns. In an illustrative row containing Copper pipe, 2, 12.50 and 25.00, the result should have four separate cells. A correct total alone does not prove that every row is correct.

Check a blank cell too: it should remain blank rather than shifting later values to the left. After opening the workbook in Excel, review any values that contain commas, decimal points or minus signs before calculating with them.

File limits and local processing

The converter accepts one PDF at a time, up to 25 MB and 100 pages. Use Split PDF to isolate useful pages from a larger document. The review area displays a limited number of editable cells for responsiveness; all extracted rows are exported.

PDF processing and XLSX creation happen in your browser. ToolNivo serves the page and rendering assets but does not upload the selected PDF for conversion. Is the download XLS or XLSX?

The tool creates XLSX, the modern Excel workbook format. It does not offer legacy XLS or CSV export.

Can I convert a PDF without installing Excel?

You do not need Excel installed to generate the XLSX in your browser. You will need compatible spreadsheet software to open and use the downloaded workbook.

Why is there no table in the result?

The file may have no usable text layer or no recognizable table structure. Review the PDF type and the converter’s message rather than downloading an empty workbook.
