Invoice Record Keeping: Track Issued, Paid and Outstanding Copies

Invoice record keeping means preserving the issued document and the events that follow it: delivery, questions, payments and corrections. A PDF alone does not track those events. After creating a document with the ToolNivo Invoice Generator, save it and update a separate register you control. The generator has no automatic draft recovery, invoice history or payment tracking.

Use one row for each issued invoice

A simple register can be a spreadsheet or an established accounting system. The important point is a consistent source of truth. Record the full invoice number as text, customer, issue date, due date, currency, total, amount paid, outstanding balance and a link or filename for the issued PDF.

Add a short work-period or project reference if it helps prevent duplicate billing. Keep a separate status such as Draft, Issued, Part paid, Paid or Under review. A status label helps navigation, but should not replace the actual amounts and evidence.

Keep payment entries traceable

Suppose invoice INV-0063 totals EUR 360.00. A confirmed EUR 100.00 payment leaves EUR 260.00 outstanding. A later confirmed EUR 260.00 payment settles the balance. Record both payments with their dates and references rather than overwriting the first with an unexplained EUR 360.00.

If several payments can apply to one invoice, maintain a separate payment log linked by invoice number. A spreadsheet can sum those entries into the invoice register. Verify allocations before marking a document paid: a customer’s transfer might settle several invoices, or include an amount that needs clarification.

Separate currencies and document changes

Do not add EUR 360.00 and USD 240.00 and call the result “600” without a currency basis. Track balances by currency. Any conversion for reporting needs its own documented exchange-rate method outside ToolNivo; the tool’s currency selector does not perform that conversion.

Similarly, record corrections and credit documents as identifiable events rather than quietly changing an old total. The invoice correction guide discusses maintaining the connection between original and later documents. A revised file should not erase what the customer previously received.

Create a folder structure you can search

One practical approach is a year folder with an Issued subfolder and invoice-number filenames, plus related evidence linked by the same reference. For example, INV-0063.pdf can sit alongside a delivery message or supporting work record whose filename also includes INV-0063.

Avoid relying only on folders named Paid and Unpaid, because moving files can break spreadsheet links and obscure their history. Status belongs in the register. Keep the issued PDF stable, use a consistent location, and maintain a separate backup that you periodically check can be opened.

Record sending and questions as well as money

Note where and when you submitted the invoice. Keep a sent-email copy or portal acknowledgment when available. If the customer asks for a PO number or disputes a line, record the issue and next action rather than treating the entire invoice as simply forgotten.

When following up, check the payment evidence and outstanding query first. A register that records only due dates can prompt an inappropriate reminder after payment has arrived or while a documented correction is pending.

Use a short recurring review

  1. Match newly issued PDFs to register entries and check for missing or duplicate numbers.
  2. Reconcile received payments and their allocation.
  3. Review approaching and overdue deadlines in each currency.
  4. Resolve missing references or open customer questions.
  5. Check backups and access permissions for the records.

Choose a review schedule that fits your workload. For a larger team or high volume, use a system with appropriate access controls and audit history rather than several competing spreadsheets. This article does not prescribe a legal retention period; confirm the period and record format required for your business.

Before closing the generator

Confirm the PDF actually downloaded, open it, and store the reviewed version. Record its reference before beginning another invoice. The invoice numbering guide helps connect this step to a consistent sequence.

Clear Invoice removes the current form entries; it does not delete a downloaded file or an email attachment. On shared devices, consider both the visible editor and the saved document when finishing your session.

Frequently asked questions

Will ToolNivo remember the last invoice?

No. Keep your own PDF and register before leaving the page. The current tool does not automatically save drafts or history.

Can I mark an invoice paid after a customer says they sent payment?

Record the message, then verify receipt and allocation through your payment records before treating the invoice as settled.

How long should I keep invoice records?

The required period depends on applicable rules and your circumstances. Check authoritative local guidance; this workflow does not set a universal retention period.
