INVOICE GUIDES
UK Invoice Requirements: General Details and VAT Checks
For a UK invoice, start with the official requirements for identifying the supplier, customer, supply and amounts. Then check whether VAT rules add further information. A neat PDF is not evidence of compliance by itself: the transaction, registration status and actual document content matter.
This guide is specifically about UK checks. It does not set requirements for other countries or determine your tax treatment. ToolNivo creates an invoice from your entries; it does not validate a VAT registration, choose tax rates or certify the document.
Start with the official general requirements
GOV.UK lists an invoice identifier, supplier and customer details, a description, supply and invoice dates, charges, applicable VAT and the total. It also explains additional naming details for sole traders and limited companies. Use the linked official checklist for the exact requirements that apply to your business.
Compare those categories with your prepared information before opening a builder. If you trade under a business name, distinguish that name from the person or entity actually supplying the work. Similarly, do not substitute a project contact for the customer who is being billed.
Check VAT-specific detail separately
HMRC VAT Notice 700, section 16, covers VAT invoices, including numbering, the tax point, registration details and item-level information. Foreign-currency invoices may require the VAT total in sterling. Different rules can apply to simplified invoices and particular transactions; this is not a complete eligibility checklist.
Follow the official source and your transaction-specific advice. Do not assume that adding a Tax/VAT number to a PDF satisfies all the other requirements, or that selecting a zero rate is appropriate merely because you do not know which rate to use.
Map the required details to the current builder
| Information or need | What to check in ToolNivo |
|---|---|
| Supplier and customer identity | Review Business / From and Bill To, including the complete names and addresses. |
| Invoice reference and issue date | Enter them manually; the tool does not check your previous numbering. |
| Supply date or service period | There is no dedicated tax-point field. Include the appropriate information in a visible description or note and verify the PDF. |
| Tax treatment | The builder uses one document-wide tax percentage, not separate line-level tax categories. |
| Required labels and layout | The document has one fixed invoice layout. Inspect whether its visible wording is suitable. |
| Foreign-currency VAT presentation | The currency selector does not calculate or display a separate sterling VAT conversion automatically. |
A mismatch is a reason to choose an appropriate invoicing system, not to hide required information in an ambiguous total. ToolNivo is not a VAT return or Making Tax Digital submission service.
Use a pre-issue review sequence
- Identify the supplier, customer and transaction before choosing document wording.
- Check the current official rules and any customer procurement requirements.
- Confirm the applicable tax treatment with the person responsible for it.
- Prepare clear service descriptions and distinguish the supply date from the issue date.
- Check whether the available fields and calculation model can represent the transaction accurately.
- Inspect every page of the exported PDF, then retain the issued copy and supporting records.
The date comparison guide helps organize the different dates without deciding the tax point for you. The numbering guide explains how to avoid accidental reference reuse.
Recognize transactions that need more than one tax box
Consider a bill containing supplies with different VAT treatments. A single percentage applied across the whole subtotal cannot represent separate taxable categories faithfully. A manually averaged rate can produce a plausible total while failing to show the required detail.
The same caution applies to special schemes, reverse-charge wording, foreign-currency presentation or customer-mandated electronic formats. Resolve those needs in a suitable workflow. The PDF versus structured e-invoice guide explains a separate format limitation.
Keep verification separate from document creation
When the current layout fits your verified requirements, use the Invoice Generator to prepare and review the PDF. Its calculation can only apply the values you supply. It cannot decide whether the underlying price, tax category, identity or date is correct.
Save your source details and downloaded copy in your own records. ToolNivo does not keep an invoice register. Recheck official guidance when your registration, business structure or transaction type changes rather than relying indefinitely on an old example.
Frequently asked questions
Does a VAT number make any invoice compliant?
No. Required information and treatment extend beyond the registration number. Check the current official guidance and the transaction.
Can the tool apply different VAT rates to individual lines?
No. The current tool uses one document-wide percentage. Use a suitable alternative where separate tax categories are required.
Does this checklist apply outside the UK?
No. Other jurisdictions have their own rules; verify the relevant authority rather than exporting UK requirements.
