INVOICE GUIDES
Disputed Invoice: Reconcile the Work, Charges and Evidence
When a customer disputes an invoice, first identify exactly what they question. A wrong quantity, an unapproved extra and a payment already made need different responses. Sending the same PDF again without addressing the issue rarely resolves the underlying confusion.
The ToolNivo Invoice Generator can prepare a billing PDF from confirmed information. It does not manage disputes, determine contractual entitlement or collect payment. This guide focuses on organizing the facts and writing a clear response.
Ask for the specific issue
Request the invoice number, line or amount involved and a short explanation. If the customer says “the bill is wrong,” ask whether they mean the work description, quantity, price, tax, payment allocation or something else. Keep your first message neutral and specific.
Thank you for flagging invoice INV-312. Please identify the line or amount you believe is incorrect and the expected figure. I will compare it with the agreed scope and supporting records, then reply with the findings.
This is sample wording, not a legal notice. Replace references and commitments with details you can support. Avoid promising a resolution date you cannot meet.
Create a small issue log
| Issue | Record to check | Next action |
|---|---|---|
| Too many hours | Approved time record and billing basis | Reconcile the disputed dates or sessions |
| Unexpected extra | Scope and change approval | Find authorization or clarify the disagreement |
| Wrong unit price | Accepted quote or rate agreement | Compare the entered rate |
| Already paid | Payment and allocation records | Match the transaction to the invoice |
Record what is confirmed, what remains uncertain and who can supply the missing information. Separate evidence from assumptions. A note saying “client probably approved” is not an approval record.
Recalculate the disputed portion independently
Suppose the invoice shows 8 hours at USD 45, or USD 360, but both parties’ accepted record shows 7 hours. The disputed quantity difference is 1 hour, worth USD 45 before any related adjustments. If those facts are confirmed, explain the discrepancy directly rather than defending the original total merely because software calculated it.
If the calculation is correct but the time itself is disputed, arithmetic cannot settle the scope question. Likewise, a payment screenshot needs reconciliation with your own records before changing Amount Paid. The invoice vs receipt guide explains why billing totals and payment evidence serve different roles.
Respond with a finding, evidence and a next step
When an entry error is confirmed
I checked the approved record for invoice INV-312. It shows 7 hours, while the invoice lists 8. The difference is USD 45 before any related adjustments. I will provide the appropriate corrected document and identify which earlier copy it replaces.
When the disagreement concerns scope
The questioned line relates to the additional review session. I have attached the scope reference and the approval message I relied on. Please confirm whether this is the same session you are disputing, or identify the difference so we can review it together.
Share only the relevant evidence. Do not forward an entire internal email thread containing unrelated customer information. For earlier document differences, see invoice vs quote vs estimate.
Preserve the trail and separate corrections from collections
Keep the originally issued invoice, the dispute correspondence, the evidence reviewed and any agreed resolution. Follow the correction process appropriate to your records and jurisdiction rather than silently replacing the old PDF with an unexplained version. Update your external register so a disputed or replaced document is not accidentally sent as a new bill.
A polite factual response does not determine legal rights, stop contractual deadlines or authorize withholding payment. If the disagreement becomes a legal or tax issue, obtain advice appropriate to the transaction. ToolNivo cannot make that judgment. The record-keeping guide helps maintain a readable history while you resolve the practical questions.
Frequently asked questions
Should I delete the original disputed invoice?
Preserve the issued record and document any correction or replacement according to your applicable process. An unexplained disappearance makes the history harder to follow.
Does a dispute mean the entire invoice is wrong?
Not necessarily. Identify the exact lines or amounts being questioned and keep confirmed information separate from unresolved points.
Can ToolNivo resolve or track the dispute for me?
No. The generator prepares invoices from your entries. Keep the issue log, correspondence and resolution records in your own workflow.
