INVOICE GUIDES
Invoice Currency for International Clients: Agree and Label It Clearly
When invoicing an international client, agree the currency before entering the price. A number followed by an ambiguous dollar sign can leave the buyer unsure whether it means US, Canadian or Australian dollars.
The ToolNivo Invoice Generator lets you choose a currency, but it does not obtain exchange rates or convert existing prices. Changing the selection changes the currency and its normal decimal precision; you must review the amounts yourself.
Separate three currency decisions
The pricing currency is the currency used to agree the fee. The invoice currency is the currency of the amount billed. The settlement currency is the currency transferred or credited through the payment route. They may match, but do not assume they always do.
For a simple arrangement, agree one invoice currency and specify the payment route that accepts it. If a client wants to pay in another currency, establish how the conversion amount is determined before issuing the document. A currency selector does not decide who carries exchange-rate risk.
Put the currency agreement in writing
Record the currency code, agreed amount, whether conversion is permitted, and who handles transfer charges under the arrangement. If conversion is needed, record the agreed rate source and relevant date or event. A quotation-date rate and a payment-date rate can produce different figures.
A practical wording example is: “Invoice payable in EUR. Please use invoice reference TN-318. If you need another payment currency, confirm the converted amount with us before transferring.” Adapt it to the actual agreement rather than promising that every transfer will arrive without fees.
A conversion example outside the generator
Assume the parties agree that a USD 500 fee will be invoiced in EUR using an illustrative fixed conversion of EUR 0.92 per USD. The entered invoice amount would be EUR 460 before any separately applicable tax or charges. The rate is an example, not a live quote or a suggested market rate.
Do not enter 500, change USD to EUR and assume the builder performs the conversion. That would display EUR 500. Calculate and approve the amount outside ToolNivo, then enter the agreed currency and price together. Retain the conversion decision with the project records.
Check decimal precision and total presentation
Some currencies normally use two decimal places, while others use different precision. ToolNivo rounds unit prices to the selected currency’s precision before calculating line amounts. Review the preview after changing currency, especially if an earlier price had fractional minor units.
Quantity and currency precision are different concepts. A quantity of 1.5 hours does not mean the currency needs three decimal places. For time-based work, use the decimal-hours invoicing guide to check the quantity separately from the money amount.
Reconcile what the customer paid
Match the transfer reference and invoice currency before deciding whether a short bank receipt is an unpaid balance. A provider fee or bank conversion may explain a difference, but the treatment depends on the agreed payment arrangement and your accounting process.
Record the gross payment information available, conversion details and fees separately. Do not silently rewrite the original invoice to match a net deposit. The partial-payment guide explains why received payments and price adjustments need separate records.
Check cross-border requirements independently
A customer being overseas does not automatically settle tax treatment, withholding obligations or required invoice wording. Nor does a PDF necessarily satisfy a buyer’s structured electronic invoicing requirements. Check the specific transaction with the relevant authority or adviser.
For the UK specifically, HMRC’s VAT Notice 700 addresses foreign-currency VAT invoices and sterling presentation of VAT. Use the UK invoice checklist where that scope applies. ToolNivo cannot show a separate converted VAT currency total automatically, process payment or validate a cross-border tax treatment.
Frequently asked questions
Does ToolNivo use live exchange rates?
No. Agree and calculate any conversion separately before entering the invoice values.
Can one invoice contain several currencies?
The current builder uses one selected currency per invoice. It is not a multi-currency accounting ledger.
Does an international client mean no tax applies?
Not automatically. Treatment depends on the transaction and relevant jurisdiction; verify it separately.
