INVOICE GUIDES

How to Email an Invoice: Message Examples and Attachment Checks

A useful invoice email identifies the invoice, tells the recipient what it covers and points to the attached document. State the reference, amount and due date accurately, then keep the message brief. Prepare the PDF with the ToolNivo Invoice Generator and send it through your own email service; ToolNivo does not send email or track delivery.

Check the route before writing the message

Ask where invoices should go. Your everyday project contact may not be the billing recipient, and some customers require submission through a portal rather than email. Confirm whether a purchase-order reference belongs in the subject or attachment name.

Use the authorized address, not an address guessed from a company naming pattern. Copy the project contact only when useful and appropriate. An invoice can contain customer information and payment instructions, so unnecessary recipients create avoidable exposure.

First-send invoice email example

The following message is an original example with illustrative details. Replace every value with the information on your final PDF.

Subject: Invoice INV-0146 — workshop maintenance — USD 325.00

Hello Jordan,

Attached is invoice INV-0146 for the workshop maintenance completed on 12 June. The balance due is USD 325.00, with payment due on 26 June 2027 under our agreed terms.

The PDF includes the item breakdown and payment instructions. Please use INV-0146 as the payment reference. If the document needs a different billing contact or order reference, let me know.

Thank you,
Your name
Your business

There is no need to repeat every line item in the email. The attachment carries the detail; the message helps the recipient identify and act on it. Avoid claims such as “approved” or “completed” unless they accurately describe the job.

Requested resend without creating a second charge

If someone asks for another copy, make clear that it is the same invoice rather than a new bill. Check whether they requested a resend or a correction; these are different tasks.

Subject: Copy of invoice INV-0146 — requested attachment

Hello Jordan,

As requested, I have attached another copy of invoice INV-0146. This is the same invoice, not an additional charge. The document is unchanged.

Please confirm if this is the correct mailbox for future billing documents.

Thank you,
Your name

Do not say the document is unchanged if you have altered the amount, address or terms. For an actual correction, follow the appropriate document process and explain the changed version clearly.

Five attachment checks before Send

  1. Open the file from the location you are about to attach, not only from the editor preview.
  2. Match the invoice number, customer and currency with the message.
  3. Check all pages, including notes and any continuation page.
  4. Remove obsolete draft attachments from the email.
  5. Confirm that the final file is attached and the subject identifies it.

A filename such as Invoice-INV-0146.pdf is more useful than final-final2.pdf. Keep the reference readable and avoid unnecessarily exposing personal details in filenames. See downloading and checking an invoice PDF if you have not yet saved the document.

After sending: evidence, not assumptions

Keep the sent message and the exact PDF together in your records. Note the destination and delivery date. An email appearing in Sent does not prove that the customer accepted the invoice or processed it for payment. A bounce, portal rejection or request for a PO may need action.

If the invoice is overdue, first check the payment record and any unresolved query. Use a payment reminder for that later stage rather than repeatedly sending a message that sounds like a new invoice. Avoid promising that a particular subject line will make customers pay faster; accuracy and clear routing are the parts you can control.

Frequently asked questions

Should I put bank details in the email body?

Follow the payment-detail process agreed with the customer and verify the destination information. Do not add sensitive credentials or change payment instructions casually between messages.

Can ToolNivo send the invoice to my customer?

No. Download the PDF, then attach or submit it yourself through the agreed service.

Should I give a resent invoice a new number?

A simple copy of the same issued invoice should remain identifiable as that invoice. A correction or replacement may require a different documented process; do not create a duplicate charge by accident.
