How to Download an Invoice as PDF and Print It
After entering your invoice details, the final step is producing a document you can send and keep. ToolNivo lets you download an invoice as PDF directly from the editor. A separate Print Invoice action prepares only the invoice pages for printing.
Download your Invoice PDF
- Complete the supplier, customer, invoice number and invoice date fields.
- Describe every line item and check the quantity, rate and total.
- Review any discount, tax, shipping, previous payment and due date.
- Enter a filename such as Invoice-1001.pdf.
- Select Download PDF. If the automatic download does not start, use the Save PDF link.
- Open the saved file in a PDF viewer before sending it.
The editor blocks export when required information is missing or numerical entries are invalid. Correct the displayed error rather than sending a document with an old preview or incomplete totals.
What the PDF contains
The document includes the invoice details, company logo if provided, client information, item table, calculated totals and any notes, terms or payment instructions you entered. ToolNivo navigation, editor buttons and advertising slots do not form part of the invoice.
Supported Latin text is written as selectable PDF text rather than a screenshot of the whole invoice. Lines containing characters outside the built-in PDF font are rendered individually as images. Those particular lines are not selectable, so inspect documents using other scripts before sending them.
Review a multi-page invoice
Long invoices add pages automatically. Normal item rows move to the next page when they do not fit. A description longer than a page can continue across pages with a continuation label. Repeated table headings help the recipient follow the item list.
Check the first page, the transitions between pages and the final totals. Make sure the last item and the end of long payment instructions are present. A 95-item sample was tested during development and produced 13 pages; your page count depends on the amount and length of your content. The tool limits an invoice to 200 items and 100 generated pages.
Print just the invoice
Choose Print Invoice and review your browser's print preview. The supplied print layout hides the site header, navigation, editor and footer. Browser-added headers and footers, such as a URL or date, may still need to be turned off in the print dialog.
The document is designed for A4. Check the selected paper size and scale before printing, especially if your printer defaults to Letter. Native print behavior can vary by browser and printer, so use the preview rather than assuming its default settings are correct.
Keep a copy and send it yourself
Saving a PDF does not email it or mark it as paid. Attach the saved document using your normal communication method, and retain your own copy under a recognizable invoice number. The editor does not automatically store your draft for a later session.
If a customer requests several existing PDF documents together, the Merge PDF tool can help assemble them. Keep the original invoice too, and check the combined file so that supporting pages do not obscure which document is the actual bill.

Can I rename the downloaded invoice?
Yes. Enter your chosen filename before downloading the PDF.
Does the PDF include advertisements?
No. Advertising slots and website controls are outside the invoice document.
Can I reopen the PDF as an editable ToolNivo draft?
No. The invoice editor does not import a previously generated PDF back into its fields.
