INVOICE GUIDES

Landscaping Invoices: Visits, Materials and Installation Work

A landscaping invoice often combines services measured in different ways: maintenance visits, hours, plants, bulk material and installation packages. The customer needs to understand each unit before the total means anything. Use the ToolNivo Invoice Generator after reconciling the site record and agreed quantities; the generator will not measure the garden or decide which materials belong to the job.

Separate maintenance from installation work

Regular mowing or grounds maintenance should identify the serviced property and dates. A planting or bed-renovation project needs a different description: the area worked, material supplied and installation scope. Combining both under “garden work” makes it difficult to compare the bill with the accepted proposal.

If routine maintenance includes waste removal, do not add a second disposal charge for the same work. A separately approved cleanup might have different inclusions. State the boundary in the description so the invoice reflects the actual pricing basis rather than merely listing every activity performed.

Use units that can be checked

Write “bags,” “plants,” “cubic metres” or “hours” next to the relevant quantity. An unlabelled quantity of 2.5 could mean time, volume or area. Match the unit to the agreed selling basis; the supplier’s packaging may differ from the unit used in the customer quotation.

Record plant variety or a useful product description where available. Distinguish supplied material from customer-owned stock. If the customer bought the plants, charge the agreed installation service without presenting the plants as products you sold.

For bulk deliveries, keep the supporting delivery information and reconcile it with the amount charged. A full delivery bought for several projects should not all appear on one customer’s invoice merely because that address received it first.

A mixed maintenance and planting example

The following EUR example uses fictional prices, not market benchmarks. It assumes the material line excludes installation and that installation labor was separately agreed.

  • Scheduled maintenance visits on three recorded dates: 3 × 45.00 = 135.00.
  • Mulch supplied for the north bed: 12 bags × 6.50 = 78.00.
  • Mulch spreading and bed preparation: 2.5 hours × 36.00 = 90.00.
  • Six specified replacement plants: 6 × 8.00 = 48.00.

The subtotal is 351.00. With tax, discount and shipping unused for this example, the total remains 351.00. A received payment of 150.00 allocated to this invoice leaves 201.00 due. If the agreed bag price had already included spreading, the 90.00 labor line would need reconsideration to avoid billing the same installation twice.

Handle weather changes and extras accurately

A weather postponement changes the visit record, not automatically the contracted price. Check the agreement before deciding whether a missed date is billable, replaced by another date or excluded. The description should not claim a mowing visit happened when it was postponed.

Keep changes visible: an added planting area, a substituted product or extra green-waste collection should have an approval reference. Do not convert a suggestion made during a site walk into a completed, chargeable item. If a plant warranty or care condition applies, reference the actual document rather than writing a universal survival guarantee.

Enter, review and retain the invoice

ToolNivo has one general item table, so make units and service periods part of the descriptions. Add the site reference in Notes. For recurring work, reconcile dates before using the quantity field; the recurring invoice checklist covers the period review.

Do not assume materials and labor share a tax treatment. The generator offers a single tax setting, not item-specific rules. If the invoice needs separate rates or exemptions, use a workflow that represents those distinctions correctly. Check the line item description guide for clearer charge labels.

Open the exported PDF and confirm that long plant descriptions and date lists remain readable. Retain the invoice with the proposal, delivery records and payments in your own filing system. ToolNivo does not track maintenance visits or store the customer’s landscaping history.

Frequently asked questions

Should mulch quantity be entered by bag or volume?

Use the unit agreed with the customer and label it clearly. Do not mix bag counts with a price quoted per cubic metre.

Can installation and materials have separate rows?

Yes, when that matches the agreement. Avoid adding labor again if a material or package price already includes installation.

How should I show a postponed maintenance visit?

Use the actual service record and the agreement’s billing basis. Do not label an unperformed visit as completed work.
