Recurring Invoices Without Automation: A Monthly Review Checklist
A recurring invoice checklist helps prevent last month’s facts from becoming this month’s mistakes. Regular billing may repeat a service, but the invoice number, service period, approval status and payment position still need a fresh review.
The ToolNivo Invoice Generator does not schedule recurring invoices or save customer templates. Use it to enter each approved bill manually, then keep a separate register and calendar for the recurring workflow.
Start with a schedule outside the editor
Create a recurring billing register with customer, service description, agreement reference, billing frequency, next review date and responsible person. Add a link to the approved price schedule rather than relying on memory. This register coordinates work; it is not the invoice itself.
For each cycle, assign a status such as waiting for service confirmation, ready to prepare, sent or reconciled. Record the date and person who checked it. A calendar reminder can prompt a review, but should not be treated as evidence that the service continued unchanged.
Check the period and current entitlement
Use explicit service dates. “Monthly support, 1–31 March” is clearer than “March invoice” if the document is issued in April. Check whether the charge is in advance or in arrears and whether the agreement started or ended during the period.
Do not divide a monthly price by an arbitrary number of days for a partial month. Confirm the agreed proration method and apply it consistently. ToolNivo does not calculate subscription proration, cancellations or unused service credits. If the contract requires those functions regularly, use a billing system that records them.
Separate the normal charge from this cycle’s additions
In an illustrative monthly arrangement, the base support package is USD 320 and an approved one-off training session is USD 90. The current pre-tax bill is USD 410. Next month should return to USD 320 unless another addition is approved. The training charge should not become part of the recurring amount just because it appeared on the previous PDF.
Record overages, reimbursable costs and other changes against the correct period. Explain each extra with its approval reference. For capacity arrangements, compare the retainer invoice guidance before describing unused hours as refundable or transferable.
Use a two-pass review before downloading
Pass one: commercial information
Confirm that the customer still has the service, the buyer’s contact is current, the price is the approved price and the PO has not expired. Verify the specific work or availability being billed. Resolve a paused service before preparing its charge.
Pass two: document information
Assign a fresh invoice reference, enter the new issue and due dates, select the agreed currency and review tax treatment. Previous payments should not carry into the new invoice unless specifically allocated to it. Follow your invoice numbering system, not a guessed next number.
Close the cycle after sending
Download and open the PDF before leaving the editor. Save it with the period’s approval evidence, record the delivery destination and send it using your own email or customer portal. ToolNivo has no automated email, reminder or recurring payment collection.
After receipt, match the payment to the invoice and update the register. Keep the next cycle’s preparation status separate from this cycle’s payment status: an unpaid February invoice does not mean a March invoice should automatically repeat February’s balance as a new charge.
Review recurring arrangements periodically for stale contacts, obsolete services and duplicated subscriptions. This is an operational quality check, not permission to change agreed prices without notice. Use the applicable agreement and local requirements when changing the billing arrangement.
Frequently asked questions
Does recurring billing require automatic software?
No. A small workflow can be managed manually with a clear register and review schedule. ToolNivo itself does not automate the cycle.
Can I import last month’s PDF?
ToolNivo does not import invoices into editable fields. Prepare current entries from your own records.
Should an unpaid balance become a new line next month?
Do not bill the same supply again. Track the earlier invoice separately or use an appropriate statement workflow.
