INVOICE GUIDES

Tutor Invoices: Lesson Dates, Packages and Cancellations

A tutor invoice should connect each charge to a lesson or an agreed package without disclosing unnecessary information about the student. The person attending, the person arranging lessons and the person paying can be different people. Confirm the payer before preparing the bill.

Use a reviewed lesson record, then enter the charges in the ToolNivo Invoice Generator. The editor does not track attendance, schedule lessons or maintain a student’s prepaid lesson balance.

Address the payer and identify the service discreetly

Use the billing name and address agreed with the person or organization responsible for payment. Do not assume that a student’s name belongs in Bill To. A lesson reference or appropriate short student identifier can connect the sessions to the right account without including a full personal profile.

A subject, lesson date and duration are usually more relevant to billing than assessment notes. Keep medical information, learning needs and detailed educational records out of the invoice. Send any necessary progress report separately through the agreed channel to its intended recipient.

Reconcile scheduled, delivered and rescheduled lessons

Start from the lesson ledger, not the calendar alone. A calendar entry may describe a planned session that did not take place. Mark the actual outcome and check rescheduled sessions so one original booking does not become two charges.

If a cancellation is chargeable under the agreement and applicable rules, describe it as a cancellation or reserved-session charge, not a delivered lesson. Do not introduce a new cancellation term after the event. If the treatment is unclear, resolve it with the payer before issuing the invoice rather than relying on the bill to establish the policy.

Worked example: sessions with different durations

These fictional GBP figures illustrate arithmetic only. Tax is not included. Suppose the agreed hourly price is 32.00 and the billing period contains three delivered 45-minute lessons and one delivered 90-minute lesson.

LessonsHoursRateAmount
Three 45-minute sessions, dates listed in the description2.2532.0072.00
One 90-minute session, stated date1.532.0048.00

The total is 3.75 hours and 120.00. If 40.00 has actually been received and allocated to this invoice, the balance is 80.00 before other applicable adjustments. Alternatively, list each lesson separately if the payer needs a date-by-date reconciliation.

Keep prepaid packages separate from new charges

A prepaid block needs a lesson balance record: opening credits, sessions used, adjustments and credits remaining. That record is different from the amount payable on a new invoice. If a lesson is fully covered by a package already invoiced and paid, billing the lesson again creates a duplicate charge.

For example, a five-session package with two sessions used has three sessions remaining, assuming no other adjustments. A usage statement can communicate that without asking for a second payment. If you are issuing a new invoice, determine exactly what new charge it represents. The record-keeping guide explains how to maintain the supporting register outside ToolNivo.

Use the correct unit in the editor

For hourly tuition, enter decimal hours and the hourly rate. For a fixed-price session, use the number of sessions and the price per session. Do not enter 0.45 for forty-five minutes: 45 ÷ 60 = 0.75 hours. The decimal hours guide provides more conversion examples.

If different durations have different fixed prices, keep them on separate rows. Name the unit in the description so the payer can see whether Quantity means hours, lessons or packages. Material charges should also be separately identified when they were agreed and are not already included.

Review the final PDF against the lesson ledger

  1. Confirm the payer and the billing period.
  2. Match every charged session to the reviewed lesson record.
  3. Check cancellations and make-up lessons for duplicate charges.
  4. Apply received payments only once and verify the balance.
  5. Save the PDF and update your invoice and lesson records.

Inspect long date lists and descriptions in the exported document before sending it yourself. The generator cannot tell whether a lesson happened or whether a package credit remains. A clear external ledger supplies that evidence and makes the next invoice easier to prepare accurately.

Frequently asked questions

Should an invoice use the student’s or parent’s name?

Use the agreed payer in Bill To. Identify the lessons with only the student detail necessary for that payer to recognize the service.

Can I charge for a missed lesson?

Check the agreement and applicable rules. If a charge is justified, describe its actual nature rather than marking an undelivered lesson as completed.

Will the tool remember unused package sessions?

No. Keep a separate lesson-credit record and do not bill again for sessions already covered by a paid package.
