INVOICE GUIDES

How to Invoice Reimbursable Expenses Without Double Counting

Reimbursable expenses need a clear path from approval to receipt to invoice. A receipt proves a purchase happened; it does not by itself show that the client agreed to repay it. Start with the arrangement, then prepare the supporting evidence and the charge.

You can enter approved expense lines in the ToolNivo Invoice Generator. Its single document-level tax setting cannot calculate different tax treatments for individual expense and service lines.

Sort costs before adding invoice lines

Use three working categories: included in the service price, separately reimbursable under the agreement, and not yet approved. Only the second category is ready to become an additional client charge. A separately purchased item may still be included in a fixed-price package.

Give each expense an identifier and record date, supplier, business purpose, currency, receipt reference and approval. Avoid including full payment-card numbers or unrelated personal purchases in attachments. Where a receipt contains several purchases, identify the specific part associated with this customer.

A small reconciliation example

Assume an agreement reimburses approved travel and printing at cost, with no markup. The illustrative receipts are USD 42 for travel, USD 18 for project printing and USD 12 for a personal purchase. Only USD 60 is ready for the invoice. The personal purchase is excluded even if it appears on the same payment statement.

Enter distinct descriptions such as “Approved travel to site visit, 12 March, receipt E-14” and “Project proof printing, receipt E-15.” A single USD 60 expense line may be acceptable to the buyer if accompanied by a clear expense schedule, but separate lines make the reconciliation easier.

Make any markup visible and agreed

If the agreement allows a handling charge, distinguish it from repayment at cost. For example, an approved USD 50 purchase plus a separately agreed USD 5 handling fee produces USD 55 before the relevant tax treatment. This is an illustration, not a recommended markup.

Do not quietly inflate the receipt amount and label the result “at cost.” Decide whether the charge is an agreed fixed fee, percentage or included service amount. The descriptions should let the buyer reconstruct the amount without guessing. Use the line-item writing guide for concise references.

Check tax classification instead of assuming exemption

Calling a charge “reimbursement” does not determine its tax treatment. For the UK specifically, HMRC distinguishes recharges of your own costs from qualifying payments made on a customer’s behalf, called disbursements. Qualifying disbursements have conditions; the label alone is insufficient. Read HMRC’s guidance on costs passed to customers for that jurisdiction.

ToolNivo applies one tax setting to the document after discount, with a separate shipping-tax option. It cannot automatically exclude selected expense lines or mix VAT rates. If the required treatment differs across your bill, use accounting software that supports the necessary breakdown rather than entering a misleading blended rate.

Prevent duplicate reimbursement

Mark each approved expense as unbilled, billed with invoice number, or resolved another way. Before sending, search your expense register for the receipt identifier. A file renamed from receipt-final.jpg to receipt-copy.jpg is still the same purchase and must not become a second charge.

Check whether the client already paid the supplier directly or refunded you separately. Resolve the allocation before generating the invoice. When costs recur, include this check in your monthly billing review.

ToolNivo does not import receipts, attach an expense appendix or track billed status. Keep the evidence yourself, download the reviewed invoice and send the appropriate supporting records through your normal channel. For receipts in another currency, record the agreed conversion basis outside the tool and confirm tax reporting requirements separately.

Frequently asked questions

Are all reimbursements tax free?

No. Treatment depends on the facts and jurisdiction. A reimbursement label does not establish an exemption.

Can ToolNivo store my receipts?

No. Keep receipts and expense allocations in your own records; the invoice builder has no expense database.

How do I avoid billing the same receipt twice?

Use a stable expense identifier and record the invoice that first billed it, rather than relying on filenames alone.
