Multi-Page Invoices: Keep Items, Notes and Attachments Readable
A multi-page invoice should make a long bill easier to check, not force every detail into unreadably small text. The main task is to preserve a clear connection between each item, its amount and any supporting document.
The ToolNivo Invoice Generator creates additional invoice pages when needed. Review those pages as one document, then check any attachments separately before assembling the customer’s delivery package.
Keep useful detail in the invoice and evidence outside it
The invoice should explain what is charged. It does not need to reproduce every email, field report or raw timesheet. Use a description that identifies the service period, deliverable or goods, and refer to a supporting record where more detail is needed.
For example, “Maintenance visits, September, sites A and B; see visit summary VS-19” is more useful than a page of unrelated diary notes. Do not shorten descriptions so aggressively that several different charges become indistinguishable. The line item guide helps balance brevity with enough information for review.
Understand what the current pagination does
ToolNivo keeps ordinary item rows together when a page fills. Table headings repeat on continuation pages. An exceptionally long description can continue onto another page with a continuation label rather than being cut off. Notes and terms may also extend across pages.
The current limits are 200 items and 100 generated pages. These are limits, not a suggestion that every invoice should approach them. A short, well-organized invoice with a referenced supporting schedule may be more practical than dozens of densely described rows.
The PDF preserves selectable text for supported Latin characters. Lines using characters outside the PDF font may be rendered as images to preserve their appearance, so not every line is guaranteed to be selectable. Check important names in the actual downloaded file.
Review boundaries instead of only the first page
- Check the first and last item on each page.
- Confirm that continuation text belongs to the expected item.
- Follow the item sequence from one page to the next.
- Locate the totals and verify that they reflect all billed lines.
- Read the final notes and payment instructions through to the end.
A useful manual test is to select three lines from your source billing record: one near the start, one near a page boundary and the last line. Find each in the PDF and compare its quantity, rate and amount. This is a review method you can perform, not a claim that the tool has checked your records automatically.
Label attachments so they cannot be mistaken for new charges
Keep a small attachment list in your own sending workflow. Identify the invoice file, any timesheet or visit summary, and the role of each supporting document. Use references matching the invoice descriptions. Remove unrelated pages and confidential information before sharing.
ToolNivo does not upload attachments into the invoice editor or send them to customers. If the recipient wants one combined PDF, the separate Merge PDF tool can assemble suitable PDF files after you generate the invoice. Reopen the combined result and confirm its page order. Merging files does not check that their contents are consistent.
Preserve the issued invoice even when assembling a package
Keep the original issued invoice PDF as its own record, plus a copy of the package actually sent. That distinction helps if the customer later asks for only the invoice or questions which timesheet accompanied it. Avoid modifying amounts while merely reorganizing attachments.
If your combined file contains 3 invoice pages and 2 supporting pages, tell the recipient what the five-page package contains. A concise email can say: “Invoice INV-208 is followed by the two-page visit summary referenced in the item descriptions.” For record separation, see invoice record keeping. For the basic export action itself, use the existing PDF download guide.
Frequently asked questions
Can one invoice have more than one page?
Yes. ToolNivo adds pages as needed within its current limits. Review every page and the downloaded PDF rather than checking only the first preview.
Can I attach a timesheet inside the generator?
There is no built-in attachment feature. Send supporting files through your own communication method or assemble suitable PDFs with the separate Merge PDF tool.
Should I reduce the font to force a one-page invoice?
Readability and completeness matter more than a one-page target. Organize descriptions and supporting records without hiding necessary billing details.
