Freelance Invoice Template: Hourly and Fixed-Price Work

A freelance invoice template should make your work easy to identify and your fee easy to check. Whether you bill by the hour or by the project, ToolNivo's invoice maker gives you a consistent layout with editable line items and a PDF download. It is an online form, not a downloadable Word or Excel template.

Choose the right quantity and rate

For hourly work, enter the number of billable hours as Quantity and the hourly fee as Rate. For a fixed-price deliverable, use a quantity of 1 and enter the agreed project fee. Put the unit and scope in the description because the tool does not provide a separate unit selector.

A description such as “Website revisions, 5–9 October — 3.5 hours” gives the client more context than “Design.” For a project fee, “Logo package — approved final delivery” identifies what the single charge covers.

The subtotal is USD 340.00. With no tax, discount or shipping and USD 100.00 already paid, the balance due is USD 240.00. Enter that previous payment in Amount Paid, not as a negative item. These figures are illustrative and do not determine which taxes apply.

Include a useful billing reference

Add the client's billing name and contact details rather than assuming the person who commissioned the work also processes invoices. Use your own unique invoice number. If the client requires a PO reference, enter it in the optional PO number field and check it against their instructions.

For work completed across several dates, group related tasks into understandable lines. Do not turn every tiny action into a separate row unless the agreement calls for that detail. Equally, avoid hiding unrelated charges inside a vague single item.

Write clear payment instructions

Set an explicit due date consistent with the arrangement you made with the client. Use Payment Instructions for the method and reference they should use. Put any agreed supporting wording in Terms & Conditions. The tool does not impose default terms or automatically charge late fees.

If a project has several billing stages, label the current stage clearly. Keep the stage amounts in your own records to avoid charging the full project fee again when only a milestone is due. The generator does not reconcile previous invoices.

Review, download and retain

Check decimal quantities, spelling and currency in the live preview. Download the PDF, open it and verify the amount due before delivery. You can add a local PNG, JPG or WebP logo, but readable contact details matter more than decoration. Keep your own saved copy because ToolNivo does not retain drafts or customer history.
