How to Create an Invoice Online for Free
A useful invoice tells your customer what you supplied, how much it costs and how to pay. You can create an invoice online for free with ToolNivo by entering those details in a form, reviewing the live preview and downloading a PDF. You do not need to build a spreadsheet or arrange a document from scratch.
Collect the details before you start
Have your business name, contact information and the client's billing details ready. Check the agreed price and the description of the work. If the customer gave you a purchase order reference, keep it nearby. A clear reference can help the recipient match your invoice to the right job.
Choose an invoice number from your own records. ToolNivo starts with an editable number; it does not check your previous invoices or maintain a numbering register. Replace the starting value when necessary rather than issuing several documents with the same identifier.
Create the invoice in six steps
- Open the invoice generator and complete the Business / From and Bill To sections.
- Set the invoice number, issue date and agreed due date. Add the optional PO number.
- Select the currency before entering prices. Selecting EUR instead of USD changes the currency, not the value of your prices.
- Add a description, quantity and rate for each item. Use separate lines for separately priced work.
- Enter any agreed discount, applicable tax, shipping and payment already received. Review the balance due.
- Add payment instructions, review every preview page and choose Download PDF.
A simple service invoice example
Suppose you charge USD 80.00 for a repair visit and USD 25.00 for a replacement part. Enter one unit of each on separate lines. With no discount, tax, shipping or previous payment, the subtotal, total and balance due are all USD 105.00. The example illustrates arithmetic only; whether tax applies is a separate decision.
Write “Kitchen tap repair — agreed visit” rather than just “Work.” For the part, use a description the customer will recognize. If several visits are billed together, include the service dates in the descriptions so the customer can distinguish them.
Check the information the customer will use
Read the invoice as if you had not done the work yourself. Can you identify the supplier and customer? Is the currency visible? Does the due date match your agreement? Are the payment instructions complete? The optional notes field can explain the job, while Terms & Conditions can record the terms already agreed.
This builder does not choose legally required fields or tax rates for you. Check requirements that apply to your business and transaction. Its calculations do not turn a generic invoice into a certified electronic tax invoice.
Download and keep your copy
Give the file a recognizable name such as Invoice-1001.pdf. Open the downloaded document before sending it through your own email or messaging service. ToolNivo does not send the invoice, collect payment or keep an account history. Save the PDF before closing or reloading the page because your draft is not automatically retained.
